Managing client projects in the coronavirus era

The pandemic also left its mark on Seven2one. Here’s a look back at how we’ve been moving client projects forward and working together internally in the coronavirus era after three weeks of #ContactBans, #SocialDistancing and #stayathome.

Phase 1: Initial information on the current situation (FAQ)

Many clients contacted us to explore the idea of collaborating on projects in the coronavirus era. We promptly responded to these inquiries. In addition, we summarised the most frequently asked questions (FAQs) and communicated them to all customers in a newsletter.

Phase 2: Focus on digital channels

We quickly shifted gears in our communication to rely on digital channels to an even greater extent than before. This is because many of our clients were no longer allowed to make business trips or receive outsiders from a point very early on in the pandemic. In this context, tools like Microsoft Teams, Skype, e-mail and the telephone were quite helpful. Apart from a few “hiccups” at the beginning, these channels have been working extremely well. For example, we held workshops with clients and external partners on a digital basis and will continue to do so.

Phase 3: The “digital pact” for client projects

Our top priorities are to be in close contact with our clients, to quickly clarify open questions, to move ongoing projects forward and to launch new projects.

We developed a concept to make all of this possible. This will allow us to continue to ensure close cooperation in client projects – at a time in which face-to-face meetings will be impossible to arrange until further notice.

For example, we are conducting professional workshops using Teams or TeamViewer with live recording instead of flipcharts and facilitator toolboxes. Administrators and business users are trained using appropriate webinar and collaboration tools.

Innovations in cooperation at Seven2one

Ongoing: optimising cooperation internally

The Seven2one Managing Directors quickly decided that all parents would be able to work from home to enable them to look after their children while schools and daycare centres are closed. All other colleagues are permitted to work from home if they want to. The spacious premises at Seven2one make it quite possible to work in the office while complying with social distancing rules. We otherwise also pay attention to the usual recommendations in this context, such as washing hands, social distancing and so on.

Virtual meetings on a regular basis and updates posted on the intranet ensure that all employees remain well-informed. Our first Microsoft Teams digital jour fixe with more than 40 participants worked flawlessly.

Our recruiting process is also digital now. With interviews via video conference and a virtual tour of our premises, we were successful and will soon be welcoming three new colleagues to the team.
