2. Scope of the data processing

You have the option of submitting applications for job openings or sending us an unsolicited application using our online job applicant portal available on our Careers page or by e-mail. The following information and categories of information are collected and processed in order to process your job application:

  • The specific job you are applying for
  • Contact details: Your salutation(s), first name, last name, e-mail address
  • Curriculum vitae: Your curriculum vitae, including certificates, proof of qualifications and photo
  • Information in the cover letter as well as your salary expectations, if applicable.
  • Additional information you voluntarily provide about yourself (such as your telephone number)

3. Purposes and legal basis

We process the information you provide to us in conjunction with your application in order to assess your suitability for the advertised job opening (or other job openings at Seven2one if applicable) and to carry out the application process. The legal basis for processing your personal information in this context is Section 26 FDPA, according to which the processing of your information is permissible insofar as it is necessary in the context of making a decision on the establishment of an employment relationship.

If your application is followed by the conclusion of an employment contract, your transmitted information may be transferred and stored by us in your personnel file for the purpose of the customary organisational and administrative procedure in compliance with the relevant legal provisions – Section 26 FDPA in particular.

Should the information be required for legal purposes after the application process has been completed, additional data processing may be carried out on the basis of the requirements of Art. 6 GDPR, in particular in order to safeguard legitimate interests pursuant to Art. 6(1)(f) GDPR. Our legitimate interest then consists of asserting or defending against claims.

4. Data deletion and retention period

Your information will be stored in our application system for six months after the end of the application process. If you consent to us continuing to store your application documents for possible future job ads/application procedures, we will process your information in order to be able to make you further suitable job offers in the future on this basis. The legal basis is then your consent in accordance with Art. 6(1)(a) GDPR. In this case, your information will only be deleted when it is no longer necessary for these further purposes, usually following a period of two years after initial inclusion in the talent pool.

If an employment relationship is established, the information from the application system is transferred to the personnel file for the purpose of implementation of the employment relationship.

5. Disclosure/recipient of the personal information

After receipt of your application, your applicant information will be viewed by the human resources department and the responsible department managers at our company. In principle, the only people in the company who have access to your information are the ones who need it to carry out the application process.

In addition, (external) recipients may also be data processors, that is, external service providers that we use to provide services in the areas of technical infrastructure and maintenance of our IT systems, for example.

6. Conclusion

We reserve the right to amend or supplement this Privacy Policy for job applicants with effect for the future. The version of this Privacy Policy accessible from a link on the Careers page applies.
